Security Workflow and Roles

This page provides the sequence of information and forms required for requesting system access to OSU Administrative Systems, including Financials, Human Resources and the Student Information System (SIS). Depending on your role, you may have to complete certain training requirements before you are given access to the Financials or HR systems.

Human Resources Professional (HRP):
  • The HRP creates an employee record for a newly hired system user (current staff can skip to #4 below).
2.
OCIO:
  • Employee's name.# is assigned by noon the next day.
  • Contact 8HELP (8-4357) for further assistance with name.# and OSU Internet password.
3.
Supervisor:
  • Assist newly hired employee to create OSU Internet password to use with the name.# ID, see: https://my.osu.edu/

System User:
  • Complete Institutional Data Policy online training prior to being granted access to any of the Administrative Systems, see: https://ocio.osu.edu/itsecurity/training/
    • Administrative Systems include: PeopleSoft, eReports, Operational Data Stores, Financial Data Warehouse, Human Resources Data Warehouse, Student Analytics, and BuckeyeOasis (university eApplications).

  • Verify the appropriate form has been received.
  • Verify the Institutional Data Policy Training has been completed https://ocio.osu.edu/itsecurity/training/
  • Validate the request and grant access to the new system user.
  • Confirm to original System Access Contact requestor that access is granted and that new system user may be notified.
